This policy explains how Edmunds Cabs Ltd ("we", "us", "our") collects, uses and protects your personal information when you contact us or book a journey. We are committed to keeping your data safe and handling it in line with UK data protection law (UK GDPR and the Data Protection Act 2018).

What information we collect
When you request a quote or make a booking — by website form, WhatsApp, phone or email — we may collect:
- Your name and contact details (phone number, email)
- Pick-up and drop-off addresses
- Travel dates, times and number of passengers
- Flight details for airport transfers
- Any special requirements you tell us (e.g. child seats, accessibility, luggage)
- A recording of the call, if you book or enquire by phone (see below)
How we use your information
We use your information to:
- Provide a quote and arrange your journey
- Contact you about your booking (confirmations, changes, pick-up details)
- Keep records for our accounts and to meet legal and tax obligations
- Deal with any complaints, lost property or disputes
Our legal basis
We rely on: performance of a contract (to provide the journey you booked); legal obligation (to keep tax and accounting records); and our legitimate interests (to run the business and respond to enquiries). If we ever send you marketing, it will only be with your consent, and you can opt out at any time.
Who we share it with
We do not sell your data. We only share it where necessary, for example with a payment or booking system we use to take payment, or with the authorities where we are legally required to. Any provider we use is required to keep your data secure.
When you send an enquiry through the form on our website, it is delivered to our inbox by a third-party form service, which processes your details on our behalf purely to pass the message to us. If you contact us by WhatsApp, your message is handled under WhatsApp's own terms and privacy policy.
Call recording
Calls to and from our business number may be recorded. We do this to confirm the details of a booking, to resolve any query or dispute about a journey or a fare, and to maintain the quality of our service. You will hear a short announcement at the start of the call so you know a recording is being made.
Recordings are held securely by our telephone provider and are automatically deleted after 30 days. We rely on our legitimate interests as the legal basis for this, and on the Telecommunications (Lawful Business Practice) (Interception of Communications) Regulations 2000, which permit recording to provide evidence of a business transaction. You can ask us for a copy of a recording of your own call, or ask us not to record you, by emailing book@edmundstravel.co.uk.
Cookies
Our website uses only the cookies needed to make the site work. We do not use advertising or tracking cookies, so no cookie banner is needed.
How long we keep it
We keep booking and financial records for up to 6 years to meet HMRC and accounting requirements, after which they are securely deleted. Enquiries and quotes that do not lead to a booking are deleted within 12 months. Call recordings are deleted automatically after 30 days.
Your rights
Under UK data protection law you have the right to access the information we hold about you, ask us to correct or delete it, restrict or object to how we use it, and request a copy of it. To exercise any of these rights, email us at book@edmundstravel.co.uk.
If you are unhappy with how we handle your data, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk.
Changes to this policy
We may update this policy from time to time. Any changes will be posted on this page with a new "last updated" date.
